Scenario 1: New patient registration process through HIE
Steps 1. Login
- Login to KenyaEMR with valid credentials
- Locate the Search icon and click.

Step 2: Type the search criteria
- On the search section, type the national ID number of the patient.
- Click Search button. This will open a dialogue to allow you specify the ID Type

2. Refine the Search
- On this screen, you need to specify the Identifier type (For now specify National ID) under the drop down. On clicking National ID from the list, the system will commence a search from the HIE.
NB: You can further refine your search under Refine Search section.
NOTE: This action requires internet access since the search happens in HIE CR

Step 3. Search Result

If the client is found in CR, the details will be retrieved with some components hashed out for confidentiality as shown.

You can expand the details to view covered dependants.

To retrieve the information to your facility, you need patient authorization through OTP verification.

Click OTP verification and then Request OTP in the next screen.

This will send the OTP to patient’s registered phone number.
Note: The patient will receive the folowing text with 5-digit OTP code: 
To validate the OTP, let the patient read back the 5-digit number and enter it in the field provided. Click Continue to chart to complete the process.

Step 4: Automated client registration
By clicking on Continue to Chart button, the system will automatically create the patient file in the system
Once registered, the patient profile will be opened and ready for the patient services required for the day.

SCENARIO 3: Existing Patient in local database (with Duplicates)
The scenario describes a situation where the patient registration already existed in the local system before, and that the information pulled from CR is inconsistent with the existing record. This section summarizes how to reconcile the two set of duplicate records.
Reconciling the patent registration information.
Steps 1:
- Login to KenyaEMR with valid credentials
- Locate the Search icon and click.
Step 2:
Follow the Step 1- Step 3 under Scenario 2 above .
Where difference in the registration information for the same ID is detected, the system will display the two sets of information for reconciliation.
The user has the following options:

i. Cancel: This will close the dialogue box, and no changes will be made on any record.
ii. Proceed to patient chart: This will open the patient chart with the locally existing information – in the example given, the system will open Jared Ogolla’s profile.
iii. Sync and Continue to Chart: The system will replace existing records with the new records pulled from HIE, Save and open the patient profile with the fresh details.
